    not sure yet. I am looking to confirm the booking at least this week and I will speak to them about the min/max numbers and when I need to confirm that by then I'll update here

    looks like now I need to get a better idea of numbers by this Monday.
    also the maximum for one group is 23 so if they run out of space, I won't be able to expand to 2 groups

    I guess that means I have to put you down as a 'no' at the moment, but let me know later if you can make it and I can check numbers

    Terms & Conditions that need to be read by all drivers:

    On the Day
     No outside food or drink may be bought into the venue.  Birthday cakes are permitted for Group Events and must be pre-arranged but if a mess is left a $150.00 clean up fee will apply. You are responsible for ensuring that your area is left clean & tidy with all rubbish taken away, the area must be left in its original condition.
     Enclosed footwear must be worn by all drivers. No High Heels or shoes that may slip off will be permitted to be worn.
     No scarves or loose flowing clothing may be worn as such items pose a hazard whilst driving.
     All long hair must be properly secured into a pony tail and wound up into a bun so that it won’t come loose.
     You may wear your own helmet provided that it meets all AUS Standards and has been vetted by the front desk, Open face helmets may also be worn provided that eye protection is worn.
     You may bring go pros whilst karting however such items must be properly secured so that they do not come loose and pose a hazard to others whilst you are driving. Luddenham Raceway is not responsible for the damage or loss incurred to any such equipment whilst it is at our venue.
     Photo Id must be presented at the counter at check in to verify the identity of all persons.

    Check in
    Upon your arrival you and your guests will need to check in on the touch screen monitors located on the front counter. Just follow the prompts and have photo identification at hand to present at the front desk once you have finished checking in, the person at the front counter will then verify your photo identification, take a photo, finalize payment and send you on your way for your briefing. If you and your guests would like to pre-register follow this link http://luddenhamraceway.com/events/event-booking/ then simply arrive at the front desk and present your valid photo identification to the front desk, you will have your photo taken, finalize payment and will be booked in for your event and will then be ready to partake in your safety briefing.
    Once check in has finished You will then be directed to proceed to the driver safety briefing area, where you are required to watch the safety briefing video. Please pay careful attention to the important safety message and rules of racing at Luddenham Raceway. Prior to racing you and your guests will be briefed by one of the Pit Marshalls about the race format and the rules.

    Peak Trading Periods – October, November & December, Public Holidays and School Holidays.
    During peak trading periods full payment of your booking will be required three weeks before the start of your event.

    Late Arrivals
    Please ensure that all of your guests arrive at least half an hour before your scheduled race time so that they may have enough time to check in. Delays in arriving and checking in mean that you will not be sent out on time and you will also be holding up other events. We reserve the right to send other races out in your spot if you are not on time and or reduce your race time and no compensation will be offered for same.

    Deposits
    All deposits paid are non-refundable and non-transferable and secure the track for the amount of drivers as per the confirmation letter. Please note you will pay for the number of drivers you have booked for, regardless if less than the number booked for show up on the day. If you cancel your booking or do not turn up for your booking you will forfeit your deposit and you will be liable for any and all catering ordered and any and all sessions and drivers booked. If less than the minimum number required for an event show up then Luddenham Raceway reserve the right to change your race format and no compensation shall be offered for same.

    Cancellations / Adjustments
    No refunds will be given for change of mind, a detailed copy of our refund policy is available in Centre and Online. All Cancellations must be in writing and Luddenham Raceway must respond in writing to acknowledge cancellation. Provided that more than 121 days’ notice is given in writing to inform of cancellation then you will be eligible for a 50% return of your deposit. If less than 121 days’ notice in writing is given then you will not be entitled to a refund. During peak periods of trading no refunds shall be given for cancellations.
    No Adjustments may be made to your race format or the number of drivers once your booking has been made and the deposit paid. You will be charged according to the invoice issued with your booking. The only exception to this rule is if drivers are to be added to your booking, in which case you must advise Luddenham Raceway of increasing numbers one week prior to your event.

    Delays
    From time to time delays may be incurred. No refunds will be given for unavoidable delays and it is noted that all start and end times are general estimates only and are not guarantees for when your event will begin and finish. In the event of a delay your group will be notified accordingly and you will be issued with a credit for any sessions that you are unable to complete on the day you had booked for.

    Wet Weather
    No refunds will be given on the basis of wet weather, and cancellations or transfers of bookings cannot be requested on the basis of wet weather. Luddenham Raceway operates in wet weather, please ensure that you make allowances for wet weather by bringing a change of clothes or alternatively you may purchase wet weather suits for $10.00 from the front desk.
    In the event that your event is postponed or cancelled due to extreme weather conditions which would make it dangerous or unsafe to proceed, you will be contacted and advised by Luddenham Raceway Staff, and their decision will be final. Should races need to be cancelled / postponed a race credit will be applied to your Luddenham Raceway Drivers Card for the session/s (or any part thereof) which you have been unable to complete on the day, and this credit may be redeemed at a mutually agreeable time OR if you have not begun your races, then your deposit will be transferred to your rescheduled event date. You have twelve (12) months from the original booking date to reschedule your event. Should you not nominate and rebook a new date within a period of twelve (12) months from the original booking date, you will forfeit your credit/s and or deposit. The event being rebooked may only be the same event or a greater package. You cannot use the credit and or deposit to do a lesser package.

    Miscellaneous
     The venue has a ZERO drug and alcohol policy.
     Safety messages and directions from the staff must be obeyed and observed at all times. Failure to do so will result in you being escorted from the building and no refunds will be given for any part of your booking not yet completed.
     You must ensure that you are in good health and are fit to participate in karting. Pregnant women are not permitted to kart under any circumstances.
